Configuring Client Reminders

Set up and customize SMS and email client reminders, including timing and message options for each Appointible plan.

Configuring Client Reminders

SMS reminders are available on the Appointible Pro plan. Email reminders are available on all plans.

When reminders are sent

Client reminders are sent automatically based on the automation rule that is configured. In practice, reminders are sent:

  • Before the appointment (for example, 24 hours before – the exact timing is configurable).

  • Before a rescheduled appointment when the client moves the appointment to an earlier time.

  • Before a rescheduled appointment when the client moves the appointment to a later time.

Opening reminder settings

There are two easy ways to reach the reminder configuration screen. I recommend picking whichever feels more natural in the daily workflow.

Option 1 – From setup

1. Log in to Appointible or open Setup directly.
2. In the Your business panel, click Configure reminder.

1. In the left-side menu, click Apps (sometimes labeled Addons in older screenshots).
2. Find the SMS Reminders app.
3. Click Configure in the SMS Reminders panel.

Enabling the reminder rule

On the reminder automation screen, the main job is to decide when the reminder goes out and make sure the rule is enabled. Think of it as the on/off switch plus the timing dial.

  1. Turn on the automation rule by enabling Is SMS reminder enabled? (or a similar toggle).

  2. Click the 24 hours dropdown and choose when to send the appointment reminder (for example, 24 hours before, same day in the morning, etc.).

  3. If a text update is needed, click Request message update (for Basic and Growth plans) or edit the text directly (for Pro plan – more on that below).

Tip: 24 hours means the client receives the reminder exactly 24 hours before the appointment start time. For more ideas on timing – like sending reminders "tomorrow" or on the "next Monday" – this guide is handy: reminders to reduce no-shows.

Editing the reminder text

Once the timing is set, the next step is making sure the message sounds clear and helpful. A short, friendly reminder usually works best – something that confirms the date, time, and location, and explains how to reschedule or cancel if needed.

Edit reminder message text

A simple example SMS reminder could look like:

"[Business name]: Appointment on [date] at [time]. Reply C to cancel or R to reschedule."

Plan differences

Different Appointible plans offer different levels of control over reminder messages and automation rules. I was saying – if more flexibility is needed, Pro is usually the way to go.

Basic and Growth plans

On the Basic and Growth plans:

  • The reminder text itself cannot be edited directly in the app.

  • If a text change is needed, contact the Appointible support team from the in-app chat or Help Center and request a message update.

  • Support can update the reminder text on behalf of the account, so the setup stays simple and hassle-free.

Pro plan features

On the Pro plan, reminder automation becomes more flexible and powerful. Pro users can:

  • Create and manage multiple reminder rules for different services, locations, or workflows.

  • Edit the SMS reminder text directly to match the brand voice and policies.

  • Use two-way SMS (with the Appointible SMS Marketing addon enabled) so clients can reply to confirm, reschedule, or cancel.

To switch to Pro, open Billing and follow the Upgrade subscription flow. After the upgrade, the extra reminder options will be available automatically. Enjoy the new toys – they are built to reduce no-shows and keep the calendar pleasantly full.
