Online Booking Flow

See how clients use the online Booking Website to schedule appointments step by step.

Clients can book appointments online in a few quick steps using the Booking Website. Below is exactly what they see and do from start to finish.

Booking Steps

Before clients can book online, the Booking Website must be enabled and configured. I recommend checking this in Setup under the Booking Website section first.

1. Open booking website

Clients start on the business online Booking Website. This is the public link that can be shared on a website, social media, email signature, or messages.

On the homepage, clients click Services to see all available services.

2. Choose a service

Next, clients browse the list of services. For each service they can usually see:

  • Service name

  • Duration (if set to be visible to customers)

  • Price or price range

  • Short description, if added

When ready, they click Book now on the chosen service.

3. Select provider

Clients can then choose who will provide the service:

  • Select a specific employee or professional, or

  • Click Any professional to let the system pick an available provider at the chosen time.

After choosing the provider option, they click Select date & time to move to the calendar view.

4. Pick date and time

On the next screen, clients see available dates and time slots based on working hours and existing appointments in the Calendar.

They simply:

  • Select a date

  • Choose one of the available time slots

If no times are available on a specific day, the system gently nudges them to another date instead of making them guess. No crystal ball needed.

5. Enter personal details

To confirm the booking, clients fill in their contact details. Typically this includes:

  • Name

  • Phone number

  • Email address

  • Any extra fields that were configured for online booking

When everything looks good, they click Confirm appointment. At this point the appointment is created in the system.

6. Add to personal calendar

After confirming, clients see a confirmation screen and usually receive a confirmation email or SMS, depending on reminder settings.

From the confirmation page, they can add the appointment to a personal calendar (for example Google Calendar or Outlook) so it does not get lost between meetings, school runs, and coffee breaks.

7. Appointment in calendar

As soon as the booking is confirmed, the appointment appears automatically in the selected employee calendar in Calendar.

From there it can be managed like any other appointment:

  • Open it from the calendar to view details

  • Reschedule or edit if needed

  • Cancel the appointment if something changes

If online booking is enabled for multiple employees, each one only sees the appointments assigned to them, keeping the schedule clean and easy to work with.
