Add internal notes to a client profile that are visible only to the team.

Adding client notes

Client notes are a handy place to keep important details in one spot – preferences, warnings, small quirks, and all the little things that make appointments run smoothly.

Opening the client

1. Go to Clients in the left sidebar after logging in.

2. Search for and click the client that needs a note. This opens the Client details panel.

Adding a new note

1. In the client profile, click the Notes tab.

2. Click Add new note (or Add note, depending on the view).

3. Type the note text – for example:

  • Service preferences ("Prefers late afternoon appointments")

  • Important details ("Allergic to latex gloves")

  • Follow-up reminders ("Check in about new treatment in 3 months")

4. Click Save to store the note in the client record.

Viewing and managing notes

All notes for the selected client appear in the Notes panel in chronological order. This makes it easy to scroll back and see what was agreed, what worked well, and what should be avoided next time.

If a note is no longer needed or contains a typo, it can be edited or removed directly from the same panel, depending on workspace permissions.

Visibility and privacy

Client notes are internal only. Clients cannot see these notes in reminders, emails, or any client-facing communication. Think of them as a shared notebook for the team – helpful, but safely behind the scenes.

For sensitive information, I recommend keeping notes factual and concise so the team gets what is needed at a glance, even on a busy day.
