Merging Duplicate Clients
Sometimes a client sneaks in twice β maybe with a typo in the phone number or a slightly different name. Instead of guessing which profile to use every time, it is much easier to merge them into one clean client record.
Open Clients
Log in to Appointible and open Clients from the left sidebar. This is where all client records live and where merging happens.
Find The Duplicates
Use the search field at the top of the Clients page to find the duplicate records. Searching by client name, email, or phone usually does the trick.
Look for two client records that clearly belong to the same person β for example, same name but a slightly different phone number or email address.
Select Clients To Merge
Once the duplicate records are visible in the list:
Tick the checkbox next to each of the two client records that need to be merged.
Click the Merge clients button that appears above the list.
At this point nothing is merged yet β Appointible will first ask which record should be kept as the main one.
Choose Main Client
A merge dialog will open, showing both client records side by side.
Select which client should be the main record to keep. I recommend choosing the one with the most accurate and complete contact details (correct phone, email, and name).
The main client will keep:
Contact details (phone, email, address)
Personal information and custom fields
Marketing preferences and list memberships
Confirm Merge
Review the summary in the merge dialog. If everything looks correct, confirm the merge.
This action cannot be undone, so it is worth double-checking that the right client is selected as the main record before clicking the final confirmation button.
What Gets Merged
After confirming, Appointible will merge the two records into the selected main client. To keep life simple, all history is brought together in one place.
The following information from the secondary client is moved to the main client:
Past and upcoming appointments
Messages and conversations
Notes and internal comments
The secondary client record is then removed from the Clients list, leaving a single, complete client profile.
