Searching clients in calendar
Sometimes a client calls and says, “Hey, can we move my appointment?” while the calendar is already full of colorful tiles. This is where the calendar’s built‑in client search saves the day.
Opening the calendar
First, open the calendar view in Appointible by going to Calendar from the main menu.
On the left side, there is a panel that shows the next seven days of appointments. At the top of this appointment list is a client search field.
Using the client search
The calendar search is designed for quick lookups while working with appointments. I recommend using it when a client is on the phone or at the front desk.
In the search field at the top of the left panel, it is possible to search clients by:
Name (full or partial)
Phone number (full or partial)
Email (full or partial, if available in the account)
Click in the search field at the top of the appointments list.
Type part of the client name, phone number, or email.
Select the correct client from the results list.
If the client is not found, it is possible to open the full client list in Clients and use the advanced search and filters there.
Viewing client appointments
After selecting a client, the left panel switches to that client’s history. It shows past and upcoming appointments so it is easy to answer questions like “When was my last visit?” without leaving the calendar.
From this view it is possible to:
Check past appointments and services
See upcoming bookings
Open an appointment to Edit appointment, Cancel appointment, or Book again
To add a new appointment directly from this client view, click the plus (+) button next to the client’s name or in the appointments area.
Booking from client search
When adding a new appointment from the client view, the client is already selected, so only the appointment details need to be filled in. It keeps things fast and tidy, like a good front desk should be.
Choose date for the appointment.
Select the team member.
Pick the service that will be provided.
Set the appointment start time.
Adjust any other details if needed, such as notes or price.
Click Add appointment to save.
Finding the booked appointment
After saving, the new appointment appears in the main calendar at the selected date, time, and team member column. It can be managed like any other booking using options such as Edit appointment, Cancel appointment, Mark as arrived, or Book again.
Tips and next steps
I recommend using the calendar client search for quick day‑to‑day changes, and the full Clients page when detailed client records, notes, or merging clients are needed. For adjusting how the calendar looks or behaves, check Calendar Settings.
