Reserving Equipment For Appointments

Avoid double-booking equipment by linking it to services and appointments in the calendar.

Reserving equipment

This guide walks through how equipment works in Appointible and how to reserve it when booking appointments, so the same laser, chair, or other tool is not double-booked at the same time.

What is equipment

Equipment is any shared object or tool that should not be used in two appointments at the same time. For example, a laser machine, a treatment chair, a camera, or a specific room that is booked like a tool.

Once equipment is added to the account and linked to services, Appointible automatically keeps an eye on it and prevents double-bookings. No more “who has the laser now?” moments.

Checking the equipment list

First, check what equipment already exists in the account.

  1. Click the profile picture in the top right corner.

  2. Open the Equipment list.

Creating new equipment

If something that needs to be reserved is missing from the list, add it as equipment.

  1. In the Equipment page, click Add equipment.

  2. Provide a short, clear name (for example, “Laser A” or “Massage Room 2”).

  3. Optional: If the account has multiple locations, select the location where this equipment is used.

  4. Click Save.

Linking equipment to services

To make equipment reservation automatic, link it to services. Then, whenever that service is booked, the required equipment is reserved for the same time.

  1. Click the profile picture in the top right corner.

  2. Click Services.

  3. Edit an existing service or create a new one.

  4. Find the Required equipment section.

  5. Select the equipment needed to provide this service.

  6. Optional: If the account has multiple locations, select the required equipment for each location separately.

  7. Click Save.

Booking with equipment

Once equipment is set up and linked to services, it can be reserved directly from the calendar when creating an appointment.

  1. Open the Calendar.

  2. Click on the desired time slot and select Add appointment to open the appointment creation screen.

  3. Fill in the appointment details: client, date, time, service provider, and services.

  4. Look for the Equipment dropdown in the appointment form.

  5. If required equipment was set on the service, it is automatically preselected here. If needed, adjust the selection manually.

  6. If no equipment is preselected, choose the correct item from the Equipment dropdown.

  7. Click Save to create the appointment and reserve the equipment for that time.

If another appointment already uses the same equipment at the same time, Appointible shows a warning so double-booking can be avoided.

If a team member tries to create a second appointment with the same equipment and overlapping time, a message appears indicating that the equipment is already booked. At that point, it is possible to adjust the time, change the equipment, or reschedule.

Online bookings

If the Online Bookings website is enabled, equipment is reserved automatically when customers book appointments online. As long as services have the correct required equipment set, Appointible blocks out that equipment for the booked time and keeps the schedule conflict-free.
