Configuring Client Reminders
Client reminders help reduce no-shows by sending automatic SMS and email messages before upcoming appointments. SMS reminders are one-way by default β clients receive a text but cannot reply directly. Both SMS and email reminders include links that allow clients to confirm or cancel upcoming appointments in just a few taps.
When a client confirms or cancels through the reminder link, the calendar is updated automatically and the back office receives a push notification, so the team always knows what is happening without manual follow-up.
Opening addons
Log in to the Appointible account.
Click Addons in the main menu.
Addon access permission is needed to open this page β if it is missing, an account admin can update permissions.
Open Reminders Addon
On the Addons page, find the SMS Reminders or Email Reminders addon.
Click Configure to open reminder settings.
Enabling reminder rules
After signup, the account usually starts with a single default reminder rule for SMS or email. It is a bit like a starter lens β basic, but it gets the job done and can be adjusted later.
On the SMS Reminders or Email Reminders screen, find the existing reminder rule.
Click the rule name or the pencil icon to edit the reminder rule.
Editing Reminder settings
Turn the Is automation rule enabled? switch to ON so reminders are active.
Choose the best time to send appointment reminders. Many businesses prefer 24 hours before the appointment, but earlier or later can work depending on the schedule and clients.
Click Save to apply the changes.
How confirmation and cancellation work
Each SMS and email reminder includes a secure link that lets clients confirm or cancel the upcoming appointment:
Confirmation: The appointment status is updated to confirmed in the calendar, and the back office receives a push notification.
Cancellation: The appointment is marked as canceled in the calendar, and the back office receives a push notification so the time slot can be reused if needed.
This keeps the schedule accurate and reduces back-and-forth communication β clients handle updates in a couple of clicks, and the team sees changes instantly.
