Enabling SMS Confirmations

Turn on appointment confirmations by SMS reply using the Client Reminders app on the Appointible Pro plan.

Appointment confirmations by SMS reply are available on the Appointible Pro plan using the two-way text messaging feature in Client Reminders.

On Pro, clients can reply to reminders (for example with "Yes" or "No") and appointments can automatically update to confirmed or canceled. Basic and Growth plans support one-way reminders only.

Navigating To Apps

To start, open the Client Reminders app in Appointible.

  1. Log in to Appointible.

  2. In the main menu, click Addons.

Apps permission is required to access this section. If Apps is not visible, I recommend checking with the account owner or admin.

Next, open the Client Reminders app configuration.

  1. On the Addons page, find Client Reminders.

  2. Click Configure.

Choosing A Reminder Rule

Now pick which reminder should allow SMS confirmations.

  1. After signup, accounts usually have one default reminder rule. Click its name or the pencil icon to edit it.

  2. To keep that one as-is, click New rule to create a separate reminder just for confirmations (for example, "24h SMS confirmation").

Multiple reminders can be configured, such as one 24 hours before and another 1 hour before the appointment, so there is some room to experiment without breaking anything.

Editing Reminder Text

Next, adjust the reminder text so clients know how to confirm or cancel by SMS.

  1. In the reminder rule, make sure Is automation rule enabled? is switched ON.

  2. In the SMS message text, clearly ask for a reply. For example:
    ​"To confirm, reply with YES. To cancel, reply with NO."

  3. Any wording can be used, but I recommend keeping it short and clear so clients do not have to think too hard before coffee.

Allowing SMS Confirmation

Now connect the reminder to the two-way SMS number and enable confirmation by reply.

  1. In the reminder rule, set From phone number to the dedicated Appointible SMS number (this is required for two-way messaging).

  2. In Allow confirming the appointment by, select SMS reply.

If the dedicated number is not available, I recommend checking that the Appointible Pro plan and the Appointible SMS Marketing add-on are enabled in Billing.

Setting Reply Keywords

Finally, define which SMS replies will confirm or cancel appointments automatically.

  1. Confirm that Allow confirming appointments by is set to SMS reply.

  2. In the confirmation section, enter the keywords that should confirm the appointment (for example: YES, Y).

  3. In the cancellation section, enter the keywords that should cancel the appointment (for example: NO, N).

  4. Click Save to apply the changes.

When a client replies with one of the confirmation keywords, the appointment status updates to confirmed. When a cancellation keyword is used, the appointment is marked as canceled and a record appears in the Logbook as a cancel message. Reschedules triggered from replies also appear there as reschedule messages, so it is easy to see what happened and when.

Quick Checklist

To recap, for appointment confirmation by SMS reply to work:

  • Appointible Pro plan is active in Billing.

  • A dedicated From phone number is selected in the reminder rule.

  • Is automation rule enabled? is turned on.

  • Allow confirming the appointment by is set to SMS reply.

  • Clear confirmation and cancellation keywords are configured and match the wording in the SMS text.

Once this checklist is green, clients can confirm or cancel appointments with a quick text reply, and the schedule starts keeping itself tidy.
