Rescheduling Client Reminders

Use Logbook to review text reminders and reschedule upcoming messages to a different date and time, for example before holidays, to get confirmations and reduce no-shows.

Rescheduling Client Reminders

Logbook is the central place to review and manage all text reminders – both scheduled and already sent. It also makes it easy to reschedule upcoming reminders to a different date and time, for example before holidays, so there is enough time to confirm appointments, handle cancellations, and fill any gaps from the wait list.

Understanding what Logbook shows

Each row in Logbook represents a single text reminder. For every message it is possible to see:

  • Client name and phone number

  • Appointment date and time

  • Reminder type (for example upcoming appointment reminder)

  • Scheduled send time

  • Current status (scheduled, sent, delivered, error, or canceled)

This overview helps quickly spot which reminders are still scheduled, which have already gone out, and which might need attention before a busy period or holiday.

Using filters

Logbook can contain many messages, so filters help narrow the list to exactly what is needed before rescheduling.

Filtering by date

To see messages for a specific day or period:

  1. Click the Date filter at the top of Logbook.

  2. Select the desired time interval, such as Today, Next 7 days, or a custom range.

  3. Click Save to apply the filter.

For example, before a public holiday, filter for the week after the holiday to see which reminders are planned and decide whether to move them earlier.

Filtering by status

To focus on reminders that can still be changed, use the Status filter. It can show only messages with a specific status, such as:

  • Scheduled – reminders that are planned but not yet sent.

  • Sent – messages that left the system.

  • Sent & delivered – messages that reached the client phone.

  • Error – messages that failed to send or deliver.

  • Canceled – reminders that were stopped before sending.

For rescheduling, focus on Scheduled reminders, because sent or delivered messages can no longer be moved.

Searching by client

To find all reminders related to a specific person, use the search bar at the top of Logbook:

  • Type the client name or phone number.

  • Results instantly narrow down to messages for that client only.

This is handy when a client asks, “Did that reminder go out?” and a quick search shows the full history in a few seconds.

Managing scheduled messages

Scheduled reminders can be moved to a different time or canceled directly from Logbook. This is especially useful when appointments are rescheduled or when upcoming holidays require earlier confirmations.

  1. Select one or more scheduled reminders using the checkboxes next to each message.

  2. Choose whether to Reschedule or Cancel the selected messages.

Rescheduling reminders to another time

To move one or more reminders to a new time:

  1. In Logbook, filter by Status = Scheduled and adjust the Date filter if needed.

  2. Select the reminder or reminders using the checkboxes.

  3. Click Reschedule to another time.

Then set the new schedule:

  1. Pick the new date and time for the reminder.

  2. Click Reschedule message to confirm.

The reminder will now go out at the updated time, without sending duplicates or confusing follow-ups.

Example: preparing for holidays

Here is a simple way to use Logbook before a busy holiday period:

  1. Open Logbook.

  2. Set the Date filter to the days just after the holiday.

  3. Set the Status filter to Scheduled.

  4. Select all reminders for those days.

  5. Click Reschedule to another time and move them a few days earlier.

  6. Confirm with Reschedule message.

This way, clients receive reminders before the holiday, have time to confirm or cancel, and the schedule can be filled from the wait list instead of being surprised by last-minute no-shows.
