Creating QR Codes for SMS Marketing

Create a keyword and QR code so clients can quickly subscribe to SMS marketing messages.

Accounts on the Appointible Pro plan can use SMS Marketing features to let clients subscribe to text marketing with a quick QR code scan.


Check plan and SMS

Before creating a QR code, I recommend checking two things:

  1. Confirm the account is on the Pro plan in Billing. The SMS Marketing features are available only on Pro.

  2. Open SMS settings and make sure SMS is fully configured (Twilio connected, number active, and Smart sending / Quiet hours set up as needed).

Open keywords

  1. In the left menu, open the Marketing section and select Keywords.

  2. This page shows all existing SMS marketing keywords and their QR codes.

Navigate to the Marketing keywords page.

Create a keyword

  1. On the Keywords page, click Create keyword.

Click Create keyword.

Configure the keyword

This keyword is what clients will text in to subscribe after scanning the QR code. A few details matter here so the marketing list grows in a clean and compliant way.

  1. Keyword name – Choose a short word that clearly matches the campaign, for example: VIP, OFFERS, or NEWS. It should be easy to remember and easy to spell. If it looks like a Wi‑Fi password, it is probably too complex.

  2. Audience list – Select which list from Audience Lists new subscribers are added to. Different keywords can feed different lists, such as “VIP clients” or “New clients”.

  3. Auto-respond message – Type the confirmation text that is sent right after someone subscribes. I recommend including:

    • Thanks and confirmation that the subscription worked.

    • What type of messages will be sent (promotions, reminders, updates).

    • How often messages are sent, if possible.

    • How to opt out, for example: “Reply STOP to unsubscribe.”

A live preview on the right side shows how the message will look for the subscriber. It is a good place to double-check spelling before hundreds of people see it.

Use multiple keywords

On the keyword list, it is possible to create separate keywords for different marketing lists or campaigns. For example:

  • One keyword for general promotions.

  • Another keyword for VIP or loyalty members.

  • A separate keyword for special events or seasonal campaigns.

This keeps campaigns organized and makes it easier to send targeted SMS campaigns later from Campaigns or Campaigns All.

Download the QR code

  1. On the keyword list, find the keyword that should have a QR code.

  2. Click the three dots menu next to that keyword.

  3. Select Download QR code.

The QR code file can then be printed or added to digital materials. It is usually downloaded as an image file that can be resized as needed. If it is printed very small, I recommend testing it with a phone camera to make sure it still scans easily.

What clients see

When a client scans the QR code with a phone camera:

  1. The phone opens the SMS app with the correct phone number pre-filled.

  2. The keyword is pre-filled in the message body.

  3. The client just taps send to subscribe to marketing messages.

To unsubscribe from marketing messages at any time, clients can send STOP to the same number. It is a good idea to mention this in the auto-respond message so everything stays clear and compliant.

Ideas for using QR codes

Once the QR code is ready, it can work quietly in the background, collecting subscribers while the day moves on. A few practical ideas:

  • Print the QR code on brochures, flyers, or business cards.

  • Place a printed sticker at the front desk, on the entrance door, or near the checkout area.

  • Display the QR code on a TV screen or tablet in the waiting room.

  • Add the QR code image to the website, online booking page, or social media posts.

After subscribers start coming in, use Campaigns to create and send SMS marketing campaigns to the lists connected to each keyword. The QR code does the inviting, the campaign does the talking.
