Once Google Calendar Sync is activated, Appointible will import and export all eligible appointment and busy time events for the past two months and up to two years ahead of the current date. No more double-bookings – at least not because of the calendar.
Connecting Google Calendar
To connect Google Calendar and start syncing appointments and busy time, follow these steps:
Log in to Appointible.
Open Settings > My Profile.
Scroll to the Calendar Sync section.
Click the Google Calendar > Connect button.
Only service providers in Appointible can connect to an external calendar. A single service provider can connect to multiple external calendars if needed.
If admin rights are available, external calendar connections for the team can also be managed from Apps > Calendar Sync.
Next, click the Google Calendar > Connect button and sign in to the Google account that should be synced with Appointible.
Important: On the screen that says "Appointible wants access to your Google Account", make sure all requested permissions are selected. Without full permissions, calendar events cannot be synced correctly and the connection may fail or only partially work.
Choosing Sync Options
After Google Calendar access is granted, sync options are shown. This is where the magic is configured so both calendars speak the same language.
Select the Google Calendar that should be connected if more than one calendar exists in the Google account.
Choose what to sync from Appointible to Google Calendar:
Appointment events – sync all future appointments assigned to the service provider to the selected Google Calendar.
Busy time events – sync busy time created in Appointible so Google Calendar also shows when new bookings should not be allowed.
If the best option is not clear yet, these settings can be adjusted later. The Google Calendar Sync starts only after clicking the Start Sync button, so there is room to change the mind before committing.
Checking Sync Status
After Google Calendar is connected, the current sync status and available actions are displayed in the Calendar Sync section in My Profile or in Apps > Calendar Sync for admins.
Edit – update sync preferences, such as which calendar is used or whether appointment and busy time events are synced.
Reconnect – appears only if there is a problem with the Google Calendar connection (for example, permissions were changed or the Google password was updated). Click this to restore the connection.
Disconnect – remove Google Calendar Sync from the account. Future events stop syncing, but existing appointments in Appointible remain untouched.
Syncing To Google Calendar
When Appointment events sync is enabled, all future appointments assigned to the service provider are synced to the selected Google Calendar. Changes are pushed in a few seconds after an appointment is updated or canceled, so both calendars stay aligned.
If an appointment is deleted in Appointible or reassigned to another service provider, the corresponding event is removed from the connected Google Calendar at the same time.
The same logic applies to Busy time events when that option is enabled. Busy time created, updated, or removed in Appointible is reflected in Google Calendar within seconds, helping keep availability accurate wherever the calendar is checked first.
Syncing From Google Calendar
When Google Calendar is first connected, Appointible imports events from the selected Google Calendar for the past two months and up to two years ahead of the current date. This initial sync usually completes within 1–10 minutes, depending on how busy the calendar is.
After the initial import, new and updated events are synced automatically every 10–20 seconds. In practice, this feels almost instant, without needing to refresh anything manually.
Here are a few key points to keep in mind:
Events marked as Free in Google Calendar do not block time in Appointible. To prevent new bookings in that time, set the Google Calendar event to Busy.
Events marked as Public in Google Calendar will show details like the event title and description to team members in Appointible who can access that calendar.
How Google updates affect appointments:
Appointments can be rescheduled to another date and time directly in Google Calendar. The change is synced back to Appointible.
Additional notes can be added to appointments in Google Calendar. The Google Description field is synced with the appointment Summary field in Appointible.
Appointments cannot be canceled from Google Calendar. To cancel, use the appointment in Appointible.
If an appointment event is deleted in Google Calendar, it is removed only from Google Calendar. The appointment still exists in Appointible and will be recreated in Google Calendar the next time it is updated.
Keeping Events Private
Sometimes a calendar event should block time without sharing the details with the whole team. For that, Google Calendar privacy settings come to the rescue.
If event details should not be visible to team members in Appointible, set the Google Calendar event to Private instead of Public in the event edit screen in Google Calendar.
After the event is synced to Appointible, team members with access to that calendar will see only that the time is unavailable, without any private details such as the event title or description. The time is blocked, the secret stays safe.
