Control which business locations each team member can access in Appointible.

Limit Team Location Access

This guide walks through how to let a team member access only specific business locations in Appointible. Helpful when different staff work in different branches and should not see everything everywhere.

Open team members

  1. Log in to Appointible.

  2. Click the profile picture in the top right corner.

  3. Select Team members.

Edit a team member

From the team list, pick the person that should have limited access.

  1. Click the team member name to open the Team member details.

  2. Scroll to the Permissions section.

Set primary location

This step is optional but highly recommended, so the team member main workplace matches the correct branch.

  1. In the team member details, find the Primary business location field.

  2. Choose the correct location from the dropdown list.

  3. Use this when someone moves from one branch to another and should now be treated as part of the new location.

Limit location access

This is where the magic happens – this setting controls exactly which branches the team member can see.

  1. In the Permissions section, find Apps access and make sure access is not set to full account admin if the goal is to limit locations.

  2. Under Business locations access, select Yes, some access.

  3. Use the list of locations to select only the business locations that should be visible to this team member.

  4. Leave all other locations unselected so they stay hidden for this person.

  5. Click Save at the bottom of the page.

What this changes

After saving, the team member will:

  • See only the selected locations in Calendar when viewing schedules.

  • Work only with clients, appointments, and services that belong to those locations.

  • Avoid accidental edits in branches that should stay off limits.

If a team member later starts working in another branch, simply return to Team members, edit the person again, and update the Business locations access list.
