Move around the Calendar in the mobile app, switch views, filter providers, search, and add appointments or busy time.

Navigating The Calendar

The Calendar in the mobile app is the main place to see appointments, busy time, and availability on the go. Below is a quick tour of how to move around it, switch views, and find what is needed fast.

Calendar permissions

The Calendar menu appears at the bottom of the mobile app only if access is granted to Personal Calendar or All Calendars in the workspace. If the Calendar tab is missing, it usually means calendar access is not enabled for that user role yet.

To review or update calendar access, open Calendar on desktop and check the workspace permission settings for that user.

Initial calendar view

When the mobile app opens on Calendar:

  • Today is preselected – the current date is highlighted so it is easy to see what is happening now.

  • All allowed providers are visible – all service provider calendars that this user can access are shown together.

This makes it easy to quickly check what is booked before the first coffee kicks in.

Calendar modes

Different days need different views. To change how the Calendar is displayed:

  1. Tap the filter icon in the upper left corner of the Calendar screen.

  2. Choose one of the available calendar modes:

  • Day view – focus on a single day in detail.

  • Week view – see the full week at a glance.

  • Workweek view – show only working days, based on working hours in Calendar Settings.

  • Schedule view – a compact list of upcoming appointments and busy time.

Switching modes does not change appointments – it only changes how they are displayed.

Navigating dates

The date bar at the top of the Calendar controls which day or week is shown:

  1. Tap the date field at the top to open the full month calendar.

  2. Tap the small calendar icon to jump back to today instantly.

  3. Swipe left or right on the date bar to move between weeks.

This makes it easy to jump from today to next month and back in a couple of taps, without losing track of where the schedule actually is.

Selecting a date

To jump to a specific day:

  1. Tap the date field at the top of the Calendar.

  2. Use the month calendar that opens to pick the desired date.

  3. Swipe left or right on the month view to move between months.

After a date is selected, the main Calendar view updates to show appointments and busy time for that day or week, depending on the chosen calendar mode.

Filtering service providers

When several service providers are working at the same time, the Calendar can get busy. To control which calendars are visible:

  1. Tap the filter icon in the top right corner of the Calendar screen.

  2. Choose which service providers to show.

This filter affects only what is displayed on the device – it does not change any appointments or permissions in the workspace.

Inside the service provider filter, the following options are available:

  • All – show calendars for all service providers that this user can access.

  • Available – show only providers who are available at the selected time based on working hours and busy time.

  • Include unassigned – also show appointments that are not yet assigned to a specific provider.

Combining these options helps quickly answer questions like “who is free this afternoon?” without opening each calendar separately.

Searching appointments

When scrolling is not enough, the search bar is the shortcut:

  1. Tap the search icon at the top of the Calendar screen.

  2. Type what is being looked for – a client name or phone number.

  3. Tap a result to open the appointment details.

Search looks across appointments in the calendars that this user can access, which is handy when a client remembers the phone number faster than the exact date.

Searching by name

To find appointments by client name:

  1. Open the search bar.

  2. Type the client’s first name, last name, or both.

  3. Pick the correct appointment from the list of matches.

This is useful when a client calls and says “there was an appointment sometime next week” – the name is usually enough to track it down quickly.

Searching by phone

To find appointments by phone number:

  1. Open the search bar.

  2. Enter the client’s phone number (full number or part of it).

  3. Select the matching appointment from the results.

This is especially handy when a missed call appears and the number is known, but the name is not.

Adding appointments

New bookings can be created directly from the Calendar:

  1. Tap the plus (+) icon in the bottom right corner of the Calendar, or press and hold on the desired time slot.

  2. Select Add appointment.

  3. Follow the steps in the appointment form to choose the client, service, provider, and time.

Adding busy time

Busy time blocks help protect the schedule from unexpected bookings during breaks, meetings, or personal time:

  1. Tap the plus (+) icon in the bottom right corner of the Calendar, or press on the time cell that should be blocked.

  2. Select Add busy time.

  3. Set the time range and description, then save.

Busy time appears in the Calendar and is also respected by online booking and calendar sync, so clients cannot book over it. For more details, see Blocking time to avoid unexpected appointments.
