Creating Marketing Segments
Only accounts on the Appointible Pro plan can use SMS Marketing features like client segments, campaigns, and subscription-based messaging.
Before starting
I recommend checking two things before setting up a marketing segment:
Confirm the account is on the Pro plan in Billing.
Confirm SMS Marketing is enabled in SMS Settings so campaigns and automations can use the segment later.
Open client segments
Create a new segment
On the Segments page, click Create segment.
Name the segment
Pick a clear name so it is easy to recognize later when sending campaigns or setting up automations. For example:
Marketing – SMS subscribers
VIP – SMS-only offers
After naming the segment, click Add new requirements block to define who belongs in this segment.
Choose rule types
Each requirements block can use different rule types to decide which clients are included. The three main rule types are:
Client details – for basic information like tags, status, or contact details.
Appointments – for visit history, services booked, or dates of past and future appointments.
Marketing preferences – for SMS marketing consent and subscription status.
For a marketing subscription segment, the most important rules are usually under marketing preferences, so the segment only includes clients who agreed to receive marketing messages.
Set the first rule
In the first requirements block:
Select the rule type (for example, Marketing preferences).
Choose a field such as SMS marketing consent or similar.
Set the condition to include only clients who have opted in.
This keeps the segment compliant and avoids sending marketing texts to clients who did not subscribe. No one enjoys surprise marketing at 7:00 AM.
Add more requirements
To narrow the segment further, click Add new requirements block. This is useful for targeting specific groups, for example:
Clients who subscribed to marketing messages and visited in the last 90 days.
Clients who subscribed to marketing messages and booked a specific service.
Configure the second rule
In the second requirements block:
Pick the rule type (for example, Appointments).
Choose a condition such as last visit date, service, or staff member.
Adjust the values until the segment preview looks right.
When everything looks good, click Next to review.
Save the segment
Review the segment name and rules.
Click Save to create the segment.
The segment is now available when creating SMS campaigns in Campaigns or when building automations with keywords and QR codes in Automation Keywords.
Next steps
After the marketing segment is ready, it can be used to:
Send or schedule SMS campaigns from Campaigns All.
Connect automations with keywords or QR codes in Automation Keywords so clients can text a keyword to subscribe.
