Sending Text Campaigns

Create, review, and send an SMS marketing campaign to clients using Campaigns in Appointible.

Sending a text marketing campaign in Appointible is straightforward – and a lot more effective than shouting weekend promos into the void. Below is a step‑by‑step guide from creating a campaign to checking its status.

Navigating To Campaigns

1. Open the Appointible account in a browser.

2. In the left side panel, click the Marketing dropdown.

3. Click Campaigns.

Creating A Campaign

1. On the Campaigns page, click Create campaign.

2. Enter a clear campaign name, for example July VIP Promo or Back‑to‑School Reminder.

3. Click Continue.

The new campaign is now saved as Draft. It can be edited as long as needed and even finished the next day without losing progress.

Choosing Recipients

In the Recipients step, the audience is selected for the campaign.

1. Open the Recipients dropdown.

2. Select one of the existing client lists or segments created earlier in Audience Lists or Audience Segments.

Only clients who:

  • are in the selected list or segment, and

  • have Marketing Consent = YES

will receive marketing messages.

Clients can reply STOP to unsubscribe automatically. To resubscribe, they can text START.

Writing The Message

Next comes the fun part – the actual text message content.

1. Go to the Content step.

2. If the account has multiple phone numbers, select the sending number from the dropdown.

3. Enter the SMS message.

Some practical tips:

  • Messages can be up to 918 characters.

  • A single SMS segment is 160 characters. Longer messages are split into multiple SMS segments and billed per segment.

  • For example, if a single SMS costs 2¢, then 161 characters become two SMS segments and cost 4¢.

Compliance and best practice:

  • In the US and Canada, including a business name at the start of the message is required. In other regions it is strongly recommended.

  • Opt‑out language is always required, for example: Reply STOP to unsubscribe.

4. When the content looks good, click Next.

Reviewing The Campaign

Before sending, Appointible shows a summary of the campaign details:

  • Campaign name

  • Selected list or segment

  • Estimated recipient count

  • Message content and sending number

I recommend checking:

  • Spelling and links in the message

  • That the opt‑out text is present

  • That the selected audience is correct for the promotion

When everything looks right, click Next to move to scheduling and sending.

Sending Or Scheduling

In the final step, there are two options: send now or schedule for later.

To send immediately

1. Choose Send now.

2. Confirm by clicking the Send now button.

This is ideal for time‑sensitive offers or last‑minute availability updates.

To schedule for later

1. Select Schedule campaign.

2. Choose the sending date and time.

3. Select the correct time zone.

4. Click Schedule campaign.

This works well with planned promos and when using SMS settings such as smart sending or quiet hours to avoid waking anyone up at 2:00 AM local time.

Tracking Campaign Status

After sending or scheduling, the campaign appears in the Campaigns All view with a status such as Draft, Scheduled, Sending or Completed.

While the sending process is still in progress, it is possible to cancel the campaign:

1. Open the campaign from the Campaigns All page.

2. Click Cancel campaign.

Important details:

  • Messages that were already sent are delivered and cannot be unsent.

  • Only the remaining unsent messages in the campaign are stopped.

After the campaign is completed, performance metrics such as failure rate and cost of campaign can be reviewed in the same area, helping refine the next SMS marketing campaign.
