Business Hours vs Working Time

Business hours and a service provider’s working time work together in Appointible, but they are not the same thing. Knowing the difference helps avoid awkward situations like clients booking when the doors are firmly locked.

Business location hours

Business location working hours define when the business location is open in general. Think of this as the time when the front door is open, the lights are on, and appointments can happen at that location.

Key points about business location hours:

  • They apply to the whole location, not to a specific team member.

  • Appointments can only be booked inside these open hours.

  • If a time is outside the business location hours, no one can be booked at that location, even if a team member is available.

To manage business location hours, go to Business locations in the account settings. From there it is possible to:

  • Add or edit a location.

  • Set or update open weekdays and hours.

  • Close specific days if needed.

Service provider working time

Each service provider (team member) has personal working hours that define when that person is available to take appointments on the calendar.

Think of this as the individual schedule inside the bigger frame of the business location hours.

Key points about working time:

  • It is set per service provider or team member.

  • It controls when that person appears as available on the Calendar.

  • If a provider’s working time is outside the business location hours, appointments still cannot be booked at that time.

  • Working time can be adjusted directly from the calendar view for quick changes.

To manage a provider’s working time from the calendar:

  1. Open the Calendar.

  2. Select the service provider from the top of the calendar (or switch from All team to a specific team member).

  3. Use the working hours controls to update the days and times when that provider is available.

For step by step instructions, see: How do I update working hours from the calendar?

Service provider working hours

How they work together

To keep things simple, I recommend thinking of it like this:

  • Business location hours – the maximum time window when the location can host appointments.

  • Service provider working time – the specific time window when a particular person is available inside that location window.

For an appointment to be bookable, both conditions must be true:

  1. The location is open (inside business location hours).

  2. The selected provider is working (inside that provider’s working time).

If appointments are not showing as available, it is usually because either the business location hours or the provider’s working time needs a quick adjustment. Once both are aligned, the calendar behaves nicely again.
